Who we are

Ledgerly is an expense and cashbook app provided by SecurePath Technologies Limited ("we", "us"). This policy explains what data the app collects, how we use it, and your choices. Ledgerly is a workplace tool: your employer (the company whose workspace you belong to) controls the records created in it.

Information we collect

Account details you or your administrator provide: your name, work email, optional phone number, job title, department, and a securely hashed password/PIN.

Financial records you enter: expenses, cash hand-offs, company cashbook entries, categories, amounts, dates, payment methods and references, and the images of receipts you attach.

Device information needed to deliver push notifications (a push token) and to keep you signed in.

We do not collect your location, contacts, or advertising identifiers, and Ledgerly contains no third-party advertising.

How we use your information

To run the service: record your expenses and transfers, calculate balances, generate reports, and show activity to you and your company administrators.

To notify you of relevant events (for example, cash received) via in-app and push notifications.

To provide support, secure the service, and meet legal and accounting obligations.

We do not sell your personal information, and we do not use it for advertising.

Who can see your data

Administrators in your company workspace (Head of Ops, Directors) can see activity and records within that workspace, consistent with normal bookkeeping. Companies are isolated from one another — one company can never see another company's data.

We use a small number of service providers to operate the app: hosting/storage for your data and receipts, an email provider for notifications, and Expo's push service to deliver notifications. They process data only to provide these services to us.

Data retention

We keep your information for as long as your account is active and as needed to provide the service. Because Ledgerly is a bookkeeping tool, financial records created in a company workspace are retained for that company's accounting needs even after an individual leaves, unless the company requests their removal.

Your choices and account deletion

You can request deletion of your account from within the app: open your profile and tap "Request account deletion". We will revoke your access and remove your personal data. Financial records you created remain in your company's books as required for their accounting, unless the company requests otherwise.

Security

We use reasonable technical and organizational measures to protect your information, including hashed passwords, authenticated sessions, and access controls that isolate each company's data. No method of transmission or storage is completely secure, but we work to protect your data.

Children

Ledgerly is a business tool intended for use by adults in a workplace. It is not directed to children and we do not knowingly collect data from children.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by an updated effective date, and where appropriate we will notify you in the app.
